How do I record and summarize an in-person meeting on iPhone?

The short answer
Say “Hey Siri, record a meeting with vabletNotes”, or open the app and tap Record a meeting. When it ends, say “stop recording”. The notes, decisions, action items and a follow-up email draft are written on the phone, and you press send.
Step by step
1. Tell people you are recording
Say it out loud before you start. The meeting count-in is silent by design, so the app will not do this for you, and in many places the law requires everyone’s consent.
2. Start the recording
Say “Hey Siri, record a meeting with vabletNotes”, or open the app and tap Record a meeting on the Meetings tab. From any screen in the app you can also press and hold the Meetings tab; a small tap tells you it has taken.
3. Let it count in
A meeting counts down five seconds in silence. Tap the number to start at once, or pause the count if you are still saying hello. Then put the phone face up on the table between the people talking.
4. Watch the words appear
The transcript is written live in large type. If it is missing words, move the phone closer to the quieter speaker. The transcript is saved as it is recognised, so an interruption does not lose what was already said.
5. Stop it
Say “stop recording”, or tap Stop and write it up. With Siri you can also say “Hey Siri, stop recording with vabletNotes”.
6. Say who was there
Pick the people from your contacts, or add a name. This is who the follow-up will be addressed to and who the action items are attributed to.
7. Read the notes
The summary, what was decided, what was promised and who owes what are written on the phone. Each line links back to the moment in the transcript it came from, so check the wording before you repeat it to anyone.
8. Send the follow-up, or don’t
The email is drafted from the notes you approved, addressed to the people who were there, with the files you showed attached. It opens in your mail app ready to send. You press send; the app never does.

Every Siri phrase
Each phrase has to include the app name; that is how Siri knows which app the words belong to.

Inside a recording, the spoken command is simply “stop recording”. When you record a note by voice only, the app asks out loud whether to add a contact; say “me”, “yes” and a name, or “no”. Every spoken question is also on screen with buttons.
Small things that make a big difference
- Phone face up, in the middle of the table, not in a pocket or against a wall.
- The room matters more than the phone. A quiet office beats a café.
- Airplane mode is fine. Recording, transcription and the notes do not need a connection.
- If a transcript should not exist at all, delete the meeting. The transcript goes with it, and there is no copy anywhere else.
